We have developed strong relationships with a wide range of professional contractors whom we know to be experienced, qualified, reasonably priced and reliable. Our contractors are on hand to deal with problems large or small, even outside of regular office hours in case of an emergency.


Comprehensive insurance cover is an absolute necessity to protect the interests of both residents and landlords. We use independent and well established insurance brokers to provide expert advice on all types of policy which are prudent to have in place. As appropriate, these will include:

  • Buildings insurance;
  • Terrorism cover;
  • Employer’s liability insurance;
  • Directors’ and Officers’ insurance;
  • Plant and equipment insurance;
  • Residents Association insurance.

Block Management

The management of residential property blocks is a specialist and complex business, requiring a full understanding of the structure and meaning of leases, as well as a thorough knowledge of the statutory requirements of various landlord and tenant legislation.

At Eastbourne Lettings we have the experience and professional expertise, to handle all aspects of block management, providing a service which complies with the Association of Residential Management Agents (ARMA) Code of Practice.

By using our comprehensive service, lessees are free to enjoy their homes and have more free time to themselves, whilst we take care of all the service, maintenance and other aspects of managing the building. The information below gives details of all aspects of our block management service.

Management Fees

Our basic management fee covers a range of standard services, but depending on the size and type of property, these can be tailored to meet your specific needs. Our pricing is transparent and competitive. We have efficient procedures in place to deal with individual service charge arrears.

Service Charges and Annual Accounts

Our standard management fee covers all of the following:

  • Collection of service charges, ground rents and reserve fund contributions;
  • Preparation of service charge annual budgets;
  • Payments to approved contractors and utility providers;
  • Credit control;
  • Preparation and filing of annual accounts;
  • Income and expenditure analysis.

Management Reporting

The following reports can be produced to inform decisions relating to the management of the block:

  • Income and expenditure reports;
  • Comparison of budget against actual expenditure reports;
  • Service charge arrears reports.


We provide a thorough internal and external maintenance service using experienced and reliable contractors. This covers:

  • Gardening and maintenance of car parking areas;
  • Cleaning and general maintenance of communal areas including, landings and stairwells;

Major Works and Reserve Fund

As well as ensuring regular maintenance work is carried out to schedule, we will oversee all major repair and renewal projects to the building. This includes:

  • Preparation of works specifications;
  • Supervision of building works;
  • Contract management, including the tendering and selection of contractors processes;
  • Budgeting and collection of funds;
  • Health & Safety and risk assessments;
  • Building control regulations;
  • Project management of works;
  • Through regular inspection, identifying and implementing preventative maintenance.

Saftey Equipment

We place a very high priority on the safety of all residents, visitors and contractors within the building. Soon after being appointed as your managing agent we will carry out a thorough risk assessment on the building. Depending on the size of the property, and what lifts or other machinery are installed, this will cover:

  • Fire and smoke detection systems;
  • Smoke extraction systems;
  • Fire extinguishers;
  • Emergency lighting;
  • CCTV systems;
  • Lifts;
  • Electronic door entry systems;
  • Communal heating systems;
  • Water hygiene management.


Security is another aspect of our management role which we place a great emphasis on. To ensure the maximum safety of all those with legitimate access to the building, as well as the security of their property, we recommend the following measures:

  • Basic intercom system;
  • Secure locking of all external doors and storage areas;
  • Security entrance keys;
  • Key fob systems at point of shared entrances.

Building Plant

Whatever size the building is, it is sure to have some equipment that requires regular safety checks and maintenance. Such equipment includes entry phone systems, lifts and central heating and cooling systems. To ensure that all plant is accounted for, and is in safe and working order we will:

  • Carry out an audit of all machinery and equipment;
  • Arrange appropriate insurance cover for expensive machinery and equipment;
  • Tender contracts to ensure all machinery and equipment is maintained to a safe and operational standard;
  • Follow up contractor reports and take appropriate remedial action;
  • Ensure a 24-hour service is provided by the contracted maintenance company;
  • Implement an ongoing preventative maintenance programme.
